How we collect, use, and protect your personal information when you visit this website, sign up to volunteer, donate, or otherwise interact with Farming with Friends.

Plain language version: We collect what we need to run the farm, communicate with supporters, process donations, coordinate volunteers, and improve the website. We do not sell your personal information or donor lists.

1. Who we are

Farming with Friends is an Ohio-incorporated 501(c)(3) nonprofit organization, EIN 93-1899453. Our mailing address is P.O. Box 13, Bath, OH 44210. Our farm is located at 2317 Ira Road, Bath, OH 44210.

This Privacy Policy applies to information we collect through farmingwithfriends.org, online donation flows, event registrations, volunteer sign-ups, contact forms, newsletter sign-ups, and email communications.

Throughout this policy, "we," "us," and "our" refer to Farming with Friends. "You" refers to visitors, donors, volunteers, event attendees, newsletter subscribers, and anyone else who interacts with us through our website or online tools.

2. Information we collect

Information you give us directly

  • Contact forms: Name, email address, phone number, reason for your message, and the message itself.
  • Volunteer sign-up forms: Name, email, phone number, availability, areas of interest, relevant experience, and information needed to coordinate volunteer opportunities.
  • Newsletter and waitlist sign-ups: Email address and any communication preferences you provide.
  • Donations: Information you provide through our donation forms, handled by Givebutter or another payment processor. See Section 4.
  • Event registrations: Information you provide when registering for events on platforms like Eventbrite or similar tools.
  • Media releases: Signed permissions related to photos, video, testimonials, names, stories, or other public-facing materials.

Information we collect automatically

  • Server logs: IP address, browser type, device type, pages viewed, referring page, and the date and time of your visit.
  • Cookies and analytics: Usage data that helps us understand website traffic and improve the site. See Section 5.

Sensitive information

Our general website forms are not intended to collect Social Security numbers, government ID numbers, full payment card numbers, bank account numbers, medical records, or detailed health information.

If you choose to share disability-related, accessibility, dietary, or accommodation information with us, we use it only to respond to your request, support participation, or provide a safer and more welcoming experience.

3. How we use your information

We use the information we collect to:

  • Respond to messages, questions, and requests;
  • Coordinate volunteer opportunities, farm activities, and events;
  • Process donations and send donation receipts;
  • Send newsletters, event updates, and other communications you opted in to receive;
  • Recognize donors, sponsors, volunteers, partners, or supporters only when we have permission to do so;
  • Operate, maintain, and improve our website, programs, and communications;
  • Protect our website, donors, volunteers, participants, staff, and organization;
  • Meet legal, tax, accounting, insurance, and nonprofit recordkeeping obligations.

4. Donations & payment processing

Online donations are processed through Givebutter or another payment processor we may use in the future. When you donate online, the payment processor collects the information needed to complete the transaction, such as your name, email address, billing details, payment method, donation amount, and donation date.

Farming with Friends does not receive or store your full credit card number or bank account number. We receive the information needed to record the donation, send a receipt, thank you for your gift, manage recurring donations when applicable, and maintain legally required nonprofit records.

If you make a recurring donation, you may manage or cancel your recurring gift through the payment platform or by contacting us for help.

Donor recognition: We will not publish your name on our supporters page, in our annual report, on social media, or anywhere else without your permission. If a donation form offers a public recognition option, we honor the choice you make.

5. Cookies and analytics

Cookies are small files stored on your device that help websites function, remember choices, and understand how visitors use a site.

We may use:

  • Essential cookies: Needed for basic site functionality, security, forms, embedded tools, or remembering cookie banner choices.
  • Analytics cookies: Used to understand site traffic and improve the website. For example, we may use Google Analytics or a similar analytics tool.
  • Embedded service cookies: Set by third-party tools embedded on our website, such as donation forms, event tools, videos, maps, or social media embeds.

We choose tools that help us operate responsibly, but their privacy practices are governed by their own policies.

We do not sell, rent, or trade your personal information or donor lists.

We may share limited information only when needed:

  • Service providers: Such as donation processors, event registration tools, email platforms, website hosts, analytics providers, and other vendors that help us operate.
  • With your permission: Such as donor recognition, sponsor recognition, testimonials, photos, partner referrals, or other public acknowledgments.
  • Legal or safety reasons: If required by law, court order, tax or accounting obligations, fraud prevention, security needs, or to protect rights, safety, or property.
  • Organizational changes: If Farming with Friends merges, restructures, or transfers operations, information may be transferred as part of that process, subject to appropriate protections.

8. Your rights and choices

You may contact us to:

  • Access: Ask what personal information we have about you.
  • Correct: Ask us to update or fix information that is wrong.
  • Delete: Ask us to delete information, subject to legal, tax, accounting, donation, safety, and recordkeeping requirements.
  • Unsubscribe: Opt out of non-essential email at any time using the unsubscribe link in an email or by contacting us.
  • Withdraw consent: Ask us to remove your name from public recognition, photos, testimonials, or similar uses when removal is practical and legally possible.

9. Children & minors

Our website is not directed to children under 13, and we do not knowingly collect personal information online from children under 13 without parent or guardian consent. If you believe a child under 13 has provided personal information through our website, please contact us so we can review and delete it when appropriate.

Some farm activities, volunteer opportunities, or programs involving minors may require parent or guardian involvement, permission forms, waivers, emergency contact information, or other documentation before participation.

10. Photos & media consent

We may take photos or videos at farm activities, volunteer days, events, or programs. We use photos, videos, names, stories, and testimonials publicly only when we have appropriate permission, such as a signed media release or written consent.

We will not knowingly publish the name, image, story, or testimonial of a minor without parent or guardian permission. If you want us to remove a photo or public mention, contact us and we will review the request promptly.

11. Data security & retention

We use reasonable administrative, technical, and organizational measures to protect personal information from unauthorized access, misuse, loss, alteration, or disclosure.

  • Our website uses HTTPS encryption for form submissions.
  • Donations are processed by payment processors that do not share full payment card data with us.
  • Access to volunteer and donor records is limited to authorized people with a need to know.
  • We keep personal information only as long as needed for the purposes described in this policy, unless a longer period is required for legal, tax, accounting, donation, insurance, safety, or nonprofit recordkeeping reasons.

No website, email system, payment platform, or online service can guarantee perfect security. Please avoid sending sensitive information through general website forms or regular email unless it is necessary.

12. Changes to this policy

We may update this Privacy Policy from time to time as our website, tools, programs, or legal obligations change. When we update it, we will revise the effective date at the top of the page. If we make a significant change, we may also provide a more prominent notice on the website or contact affected individuals when appropriate.
